Employees traveling on behalf of Emory are protected under Emory's International Package Policy.  Be sure to print this policy out and take it with you on your trip.  This policy covers Worker's Comp, Auto, General Liability and Property. 

However, there are exceptions for coverage when traveling to certain countries.  If you are traveling to a country under U.S. trade and economic santions, you are not automatically protected under Emory's International Package Policy. 
View the U.S. Treasury Department list for the current sanctioned countries.  If you are traveling to a country on this list, you will need to arrange for special coverage at least 45 days in advance of departure by calling Emory's Office of Risk & Insurance Services at 404-778-7933 or 404-778-7932.

Also, if your Emory travel will exceed three months in duration, check with the Office of Risk & Insurance Services at 404-778-7933 or 404-778-7932 to be sure you are adequately covered.

Rental Car Insurance

If car rental is inside the United States, Puerto Rico and Canada, Emory's blanket auto insurance policy provides liability and physical damage coverage for autos rented while an employee is on approved company business domestically.  Therefore, do not purchase liability and physical damage insurance from a rental car agency.  If purchased, Emory will not pay for nor reimburse the traveler.  All drivers of the car must sign the rental agreement.  In the event of an accident involving a rental car while driving on Emory business, the first $1,000 of physical damages is the responsibility of the traveler's department.  Contact Emory's Office of Insurance and Risk Services at 404-778-7933 or 404-778-7932 for more information.

If outside the United States, Puerto Rico and Canada, the employee should purchase liability and physical damage coverage in accordance with local requirements as provided by the car rental agency.  Emory will reimburse travelers for the cost of auto insurance purchased, up to limits and coverage required by the local authorities.  Emory will not reimburse travelers for the cost of insurance purchased over and above local requirements.  Contact Emory's Office of Insurance and Risk Services at 404-778-7933 or 404-778-7932 for more information.

Rental Car Accidents
In the event of an accident, travelers should immediately:

Attend to any injured parties;

  1. Obtain the names, addresses and phone numbers of anyone involved in the incident;
  2. Provide the local authorities with a report of the incident and parties involved;
  3. Contact the rental agency; and
  4. Contact Emory's Office of Risk and Insurance Services at 404-778-7933 or 404-778-7932.

Insurance Coverage for Personal Use of Rental Car
Personal use of a rental car during a business trip is not covered by Emory. Travelers who choose to extend a business trip for personal reasons, either before or after the business portion of the trip is conducted must purchase separate insurance coverage for their personal travel.  Insurance purchased for personal use of a rental car is not reimbursable.
